Suitable for: Audience: Individuals who are involved in organising meetings and taking minutes. Prerequisites: Secretarial skills. Objectives: To understand the agenda, meeting and minute taking cycle. To learn about the role of the minute taker and how to work successfully with the Chairperson. To gain increased confidence in minute taking abilities by understanding the power of effective document preparation. This course will enable delegates to take concise minutes that will be easy to read back and form an accurate record of a meeting.

Course programme
Content:
Learn the key elements of a successful meeting (recognising the needs of the
participants)
• Understand the importance of Agendas: Formulating an agenda (format and content):
• Learn the purpose of meetings & the role and responsibilities of the minute taker.
• Develop techniques for drafting and writing effective minutes:
- listening skills;
- note taking exercise;
- sorting information effectively;
- grammatical issues: using correct tone, avoiding language pitfalls;
- terminology;
- editing.
• Minutes writing workshop:
At this stage students will be given a scenario to work with; we will have a meeting
together and they will have to take and type the minutes themselves before having a
debriefing session.
Please note that areas of this schedule may be more emphasised than others in order to
best meet delegates’ needs on the day.
