Overview

A well established blue chip company, possessing a known domestic and international brand approached Risks Contained to discuss with us the risks to reputation associated within the remit of contracted event safety and security management.

To promote its brand, the company regularly commissions promotional launches on both the domestic and worldwide stage; in addition the company also holds numerous events for the benefit of its staff and associates.

In order to facilitate these activities the client contracts specialist Event Management companies and an array of specific event sub- contractors, all who possesses creative talents to the standards required by the client in order to effectively the promote brand.

However with a plethora of contractors working for the client the question of who is ultimately responsible, for both the safety and security of an event and ultimately the possibility of the brand being damaged through any form of injury, damage or otherwise, was a question that the client needed clarification on.

Risks Contained, who through working and advising some of the biggest brands in the world today have built a reputation of protecting people, property, reputations and assets , were able to advise the client accordingly.

Key Risks

In consultation with the client we were able to identify the risks associated with event safety and security in respect to contracting out event management services, these included;

  • Health and Safety advice and cover supplied by contractors, protecting the contractor and not necessarily the client and brand
  • Health and Safety representation contracted in by the Event Management contractor to protect them and not necessarily the client or brand
  • Reliance and reliability regarding sub-contractor health and safety documentation being reviewed by the Event Management contractor and not the client, thus leading to irregularities
  • Security contractors not being audited by the client and in many cases the Event Management company
  • The balance regarding safety and security between promotional creativity and health and safety best practice
  • Responsibilities of the Event Manager with regards Safety and Security and in particular Fire Safety
  • The legal standpoint with regards the Event Manger and the 'Directing Mind'

Examples of incidents at events

  • A security company quoted and invoiced a client for 250 security staff but in actual fact only supplied half that number on the day of the event. Staff were spread out and constantly re-deployed in a term known as 'ghosting'. A security audit would have identified this.
  • Health and Safety given at an event was totally dismissed by an event director on the grounds that it was (in their opinion) un-necessary. As a result several incidents took place in which individuals where injured. The Health and Safety Executive are now prosecuting the event director in question
  • An inadequate review of health and safety documentation exposed a client to a criminal prosecution as a result of a guest at an event suffering severe food poisoning
  • Poor and inadequate fire safety risk assessment identified during the 'load in' phase of a sold out event led to the Fire Service halting all activities until such time as a suitable and sufficient fire risk assessment is produced led to several hours pre-event delay costing the client dearly in time and money.
  • A death at an event led to the brand being forever associated with the incident, brand reputation damaged

Risks Contained Solution

To ensure that the client and their brand reputation receives appropriate protection, Risks Contained proposed that the client contracts a specialist health and safety / security advisor whose role and responsibility is to oversee all contracted services on behalf of the client, to act in essence as a safety and security intermediary. This role would eliminate any irregularities prior to them causing damage to the client's brand and reputation. To achieve this, the independent advisor would;

  • Review all contractor and sub-contractor health and safety documentation
  • Assess the balance between artistic presentation and the practicalities of health and safety considerations
  • Provide appropriate inter-agency representation on behalf of the client
  • Provide the client with unbiased, sound advice all issue relating to safety and security
  • Act as security and safety advisor to the client during all phases of an event or promotional launch
  • Provide the client with advice on all aspects of contracted services
  • If requested to provide the client with an event safety management plan, crowd management plan and separate event fire safety risks assessment/s
  • Source and audit any required security service provision
